HR Operations Assistant

General Purpose of Position:
The HR Operations Assistant is critical for the Human Resources and Business Operations department and will ensure an exceptional employment experience.  The HR Operations Assistant is a key part in assisting in the administration of the human resources function including new hire orientation, talent acquisition, and special projects.  The position serves as front-line support for the department, ensuring quality customer service and a positive experience for employees, applicants, guests, and visitors.   This individual will serve as a liaison between the Human Resources Department and employees for effective communication and conflict resolution.

Primary Duties and Responsibilities (Essential Functions):
Duties/Responsibilities
On-site contact person for office services, maintains department office equipment and places HR related service calls when necessary and answers incoming calls
Provide general administrative support to the Human Resources Generalist and CFO on special projects such as new hire orientation packets, scanning paperwork in the HR filing system, performance evaluation tracking, background check process, and organized company events
Assist with recruiting services and support the effective staffing including the following:
  • Schedule phone screens with incoming candidates
  • As needed, assist in arranging candidate travel for on-site interviews
  • New hire clearance process for new employees, temporary workers, and independent contractors.  Ensure disclosure forms are executed and partner with outside vendors, as appropriate, to complete background checks and drug screens.  Review results to ensure clearance for hire
Create new employee files and assist with ensuring that all required documentation is accounted for and accurate.  Will maintain New Hire & Separation Checklists in employee personnel files.
Provide customer service and support for both internal and external customers for HR-related processes and provide clerical support to various management and operations functions

Knowledge, Skills and Abilities:
  • Able to work independently and as a member of a team and have the drive to take on a variety of tasks and projects
  • Outstanding planning and time management capabilities
  • Excellent written, verbal, and social communication skills
  • Ability to maintain a strict level of confidentiality and sensitivity
  • Must be detail oriented, high energy, self-motivated, and results-driven
  • Approachable when interacting with personnel at all levels in a quickly changing environment.  Exceptional customer-service skills.
  • Proficient in MSOffice (WORD, Excel, Powerpoint) and good command of internet tools
Education and Experience:
  • B.A. degree in Human Resources, Communication, Business Administration, or a related discipline required
  • 1 year prior experience in a similar role preferred
  • Familiarity with the pharmaceutical industry a plus
Physical Demands and Work Environment:    
  • Ability to sit at a desk for extended periods of time
  • Ability to lift/carry up to 25 pounds
  • Manual dexterity to operate computers, keyboard, and other general office equipment
  • Good eyesight to read, create, and interpret company communications and other position-related materials
  • Good hearing to greet visitors and address their needs
  • Ability to move around the facility to meet with team members and assist on projects in other areas of the facility 
  • Occasional odd body positions (bending, kneeling, reaching, twisting, etc.) in the performance of position responsibilities
